Privacy Policy — Ontech Mail

Who we are

Ontech Mail is the official mobile application for the Ontech Solutions Limited email service hosted at mail.ontech.co.zm. This policy explains what the app collects, how it is used, and your choices. The app connects only to Ontech’s own servers; it does not use third-party advertising or analytics SDKs.

Information we process

• Account credentials — the email address and password you enter to sign in. They are sent over an encrypted connection to authenticate you and are not stored in plain text on the device. Sign-in tokens are kept in the device’s secure storage (Android Keystore).
• Your email content — messages, subjects, recipients, attachments, drafts, contacts, signatures and folders are retrieved from and sent to your Ontech mailbox so the app can display and send your mail. This content belongs to you.
• Profile & settings — optional profile photo, recovery email, signature, filters, vacation and forwarding settings that you choose to set.
• Device notification token — if/when push notifications are enabled, a device token may be used to deliver new-mail alerts. Push is currently not active.

How we use it

Solely to provide the email service: authenticating you, showing your inbox, sending messages, and alerting you to new mail. We do not sell your data, and we do not share it with third parties for advertising.

Device permissions

• Camera — only to scan the QR code shown in the webmail for quick sign-in. No images are stored or uploaded.
• Internet — to communicate securely with mail.ontech.co.zm.
• Notifications — to alert you to new messages.
• Biometric / device lock — optional, to lock the app on your device.

Data sharing & storage

All communication between the app and the server uses encryption in transit (HTTPS/TLS). Your mail is stored on Ontech’s mail servers as part of the email service. A limited offline copy of recently viewed messages may be cached in the app’s private storage on your device so you can read mail without a connection.

Data retention & deletion

Signing out of the app clears stored tokens and the local cache from the device. Your mailbox and its contents are retained as part of your Ontech email account. To request deletion of your account or data, contact your administrator or email us at the address below.

Children

Ontech Mail is a business email client and is not directed at children under 13.

Changes

We may update this policy; the “Last updated” date above will change accordingly.
